This policy explains how Imogen Haynes collects and uses personal information when you visit this website, make an enquiry or plan a wedding with us. We take privacy seriously, and many of our clients ask for complete confidentiality, so we hold and share personal information only where it is needed.
Who we are
This website and the wedding planning services described on it are provided by Imogen Haynes, based in London. Imogen Haynes is the controller of your personal information.
For any question about this policy or your information, contact us at info@imogenhaynes.co.uk.
What we collect
When you enquire
Your names, email address, telephone number, your preferred destination, date, guest numbers and budget, and anything you tell us about your wedding.
When we plan your wedding
- Contact and billing details for you and anyone paying for the wedding.
- Guest information needed to plan travel, accommodation and the event, such as names, contact details, travel arrangements and seating.
- Dietary and access requirements. Some of these may reveal health or religious information, which is special category data. We collect it only with your consent or your guests’ consent and use it only to plan catering and access.
- Passport or identity details where a venue, hotel, airline or authority requires them to make a booking or arrange a legal ceremony.
- Correspondence, contracts and payment records.

Who we share it with
We share only what each party needs to do their part, and every supplier engaged on a wedding is bound by confidentiality, including a non-disclosure agreement where our client requires one. We may share information with:
- Venues, hotels and accommodation providers.
- Suppliers you have chosen, such as photographers, filmmakers, florists, musicians, caterers, stylists and transport companies.
- Airlines, travel agents and transfer companies.
- Registrars, officiants and local authorities where a legal ceremony is arranged.
- Our professional advisers, banks, payment providers and IT service providers.
International transfers
Because we plan weddings abroad, we transfer personal information outside the United Kingdom. Transfers to Italy and Portugal are to countries covered by UK adequacy regulations. Transfers to the United Arab Emirates, and any other country without UK adequacy regulations, are made using the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, or where the transfer is necessary to perform the contract you have asked us to carry out.
How long we keep it
- Enquiries that do not go ahead: 12 months from our last contact.
- Client and guest planning records: 12 months after the wedding, except where needed for the contract records below.
- Contracts, invoices and accounting records: six years from the end of the financial year to which they relate.
- Non-disclosure agreements: for as long as the agreement remains in force.
Your rights
You have the right to ask for a copy of your personal information, to have it corrected or deleted, to restrict or object to how we use it, and to ask for it to be transferred to someone else. Where we rely on consent, you can withdraw it at any time. To make a request, contact info@imogenhaynes.co.uk. We will respond within one month.
If you are unhappy with how we have handled your information, please tell us first. You also have the right to complain to the UK’s data protection regulator.
Security
We keep personal information on secure systems with restricted access, and we ask every supplier to do the same.
